What Cloud Companies does today — and the limits that matter before you ask for an account.

Who is this for?

Cloud Companies suits freelancers and small companies that need invoices, expense records, and VAT totals to review — without a full accounting suite. Optional UK payroll, compliance, and staff mileage modules are available when enabled. You can turn invoicing or expenses off for a payroll-focused workspace. It is not double-entry bookkeeping and not a Stripe-style card checkout.

How do I get an account?

There is no public self-signup. An administrator creates the company and your login. Use Contact if you need access and we will arrange setup.

Can I create invoices and download PDFs?

Yes. Draft with line items, VAT codes, and currency; issue to lock the document; then download a PDF. Duplicate an issued or draft invoice into a new draft when you rebill. Optional email PDF needs mail configured on the workspace and the company “Email invoice PDFs” option on.

How do credit notes and corrections work?

Issued invoices are not free-edited. Raise a credit note on its own CN series for a clean reverse. Soft-void is available when that fits your process; if you are VAT-registered, prefer a credit note so the audit trail stays clear.

Can I keep customers and send statements?

Yes. Store name, address, VAT ID, and email; raise invoices from a customer; open a period statement (HTML or PDF) when you need who-owes-what for follow-up.

How do expenses and receipts work?

Add a purchase manually, or use Smart upload to classify a receipt and confirm. Attach or replace receipt files on the expense. VAT and payment method roll into the company VAT summary for return prep — not a full ledger.

Does it track invoice payments?

Optionally. Enable “Track invoice payments” under Company settings → Invoice → Features for unpaid / partial / paid badges, payment entry, and overdue filters. Existing companies stay off until you turn it on. There is no built-in card payment gateway.

What about VAT and HMRC Making Tax Digital?

VAT summaries pull totals from invoices and expenses for the period you choose. For VAT-registered companies with MTD enabled, you can connect to HMRC, disconnect, and submit a VAT return with a period key when your workspace is set up for it. Fraud-prevention headers are still minimum viable. This is not a claim of HMRC software authorisation, and it does not replace official HMRC guidance.

Is there a mileage log?

Yes — under Expenses, for company staff (directors/employees) claiming UK HMRC Approved Mileage Allowance Payments (AMAP) on personally owned vehicles, using GBP rates. Create, edit, and soft-void journeys. UK companies only; not a per-customer travel diary or multi-country mileage engine.

Which languages does the app support?

UI and this public site: Spanish, English, Portuguese, German, and French. Invoice PDFs can use a document language separate from the language you work in.

Can one login cover more than one company?

Yes, when you are linked to more than one. Switch workspaces in the app; each company’s invoices, customers, and settings stay separate.

How do I get support?

Contact on this site before you have a login; Contact us inside the app once signed in. In-app Help walks through the main day-to-day workflows.

Is there UK payroll and compliance?

For UK-based companies, optional Payroll and Compliance modules can be enabled in Company settings → Modules. Payroll covers employees, pay runs, and PDF payslips with PAYE/NI for internal records — not an HMRC RTI submission and not a substitute for official HMRC payroll software. Compliance covers identity, Right to Work notes, and employee documents. Auto-enrolment pensions and full statutory payments are not included yet.

Can I run payroll-only (no invoicing)?

Yes. A platform admin or company agent can turn Invoicing, Expenses, Payroll, and Compliance on or off under Company settings → Modules. Invoicing and Expenses default on but can be disabled. Payroll and Compliance are mainly for UK companies.

Do you offer Self Assessment for directors?

A director-focused personal Self Assessment workbook (salary from payroll, dividends, other income) is on our roadmap — not available in the app yet. It is planned as prepare-and-pack first, with HMRC export/API later. Use Contact if you want to discuss accounting-style prep for directors.
